“What I appreciated most was his ability to think ahead, anticipate needs, and bring ideas and solutions I wouldn’t have come up with on my own.”

Ariana Lloyd, LCSW, founder of Grounded

Background

Helping clinicians find the right supervisor.

Ariana Lloyd is a licensed clinical social worker who offers clinical supervision, therapy, and private practice consultation. Grounded is her newest project: a directory of board-approved supervisors in Oregon and Washington, and a community where those supervisors keep building their skills together.

For someone working toward a license, finding a supervisor can mean a long list of names and a lot of emails. Supervision rules depend on both the state and the license, so a supervisor who looks like a great fit may not be able to sign off on your hours.

When we first spoke in May 2026, Ariana had nine supervisors and wanted room for 200. Her website had been on Squarespace 7.0 for eight years, and the directory needed to feel like part of it.

Process

Letting her questions shape the build.

My first proposal assumed I’d build a Squarespace page by hand for each supervisor. That works for nine people and gets hard to manage at 200.

Ariana tried another directory tool first. It wasn’t the right fit, and when she came back in July she had a much clearer idea of what she needed.

Over the next few weeks she asked how supervisors would join and update their profiles, what her own role would be, what it would cost to run, and what would happen if I weren’t around years from now. She also asked which approach I’d choose if Grounded were my own business.

Her question about the next five to ten years changed the plan the most. The answer was a real page for every supervisor that Google can find, on its own address under her domain.

I answered in a written walkthrough she could come back to, along with a clickable demo of the search.

Before she signed, I checked every claim in the proposal again. That turned up two things: Airtable had agreed to be acquired, and one of my own automations could have used a month of Airtable’s automation runs in a single day. I fixed the automation and added an offline copy of the directory, so it keeps working if Airtable ever changes.

The Directory

Starting with the supervisors who can sign off on your hours.

In August, Ariana pointed out that eligibility depends on the state and the license together. A supervisor approved for clinical social work in Oregon may not be approved for professional counseling there.

So the directory starts with two questions: where you’re pursuing licensure, and which license. The only choices that appear are the ones a supervisor has been approved for, and Ariana verifies each approval herself.

Someone licensed in more than one state can pick each one, and the directory shows only the supervisors who can sign off on their hours in all of them.

Finding a match from there.

People can filter by modality, specialty, and format, or search the bios. Ariana wanted someone to type something like “IFS,” “trauma,” “Oregon,” and “virtual” and quickly find a handful of good matches. The search knows the common abbreviations, so “IFS” also finds a bio that says Internal Family Systems.

When nothing matches every filter, the directory shows who matches all but one and names what’s missing, so a search never ends on an empty page.

The order is shuffled for each visitor, so no one holds the top spot permanently.

Keyword search Directory results for a search for internal family systems with the Virtual filter on, showing seven supervisors
Close matches Directory results when no one matches all three filters, showing supervisors who match two, each labeled with what they are missing

A real page for every supervisor.

Each supervisor has a page of their own with their bio, approvals, specialties, and a link to schedule a consult. Every one is a page Google can find, which matters more as the directory grows.

The directory screenshots use sample supervisors created for testing.

Joining & Updates

Keeping the directory current.

Supervisors join through an online form. They fill in their details and the licenses they supervise toward, upload a headshot, agree to join Grounded’s monthly supervisor gatherings, and sign Grounded’s membership agreement.

Every new listing waits for Ariana’s review. Once she has checked their eligibility, she marks them published in Airtable, and the directory picks them up on its next daily update.

Supervisors usually update their profiles once or twice a year. Each one has a personal link that brings up their listing already filled in. Changes to who they’re approved to supervise go through Ariana, so she can verify them.

Ariana doesn’t have to collect bios over email or edit anyone’s page by hand.

How It Works

Built to last, and affordable to run.

Ariana wanted something that wouldn’t lock her into expensive monthly software or leave her depending on me to keep it running.

The listings live in Airtable, which she already used. The forms run on Fillout, and the directory is hosted on Cloudflare at no monthly cost. The data, the code, and the hosting are all in accounts she owns.

A supervisor joins through the form, Ariana reviews and publishes them in Airtable, and the directory updates itself each day, keeping an offline copy in case Airtable is unavailable. Each time the directory updates, a copy of the listings is saved with the code. If Airtable is ever unavailable or changes its plans, the directory keeps running from that copy while the data is sorted out.

The whole system is documented, so another developer could pick it up later if they needed to.

The Website

Making room for Grounded on a site with eight years of history.

Ariana wanted Grounded to be the first thing people see, while the site stayed the home for all of her work: supervision, therapy, consulting, and writing. She sent four literary magazines she admired as references. Each one organizes its content into clear sections, and that became the model for her new homepage.

The homepage leads with Grounded, then gives each part of her work its own section, followed by her recent writing and a newsletter signup. I built it with Squarespace’s own sections and text styles, so Ariana can edit the words and swap the photos herself.

Her site had been on Squarespace 7.0 since 2018. I moved it to 7.1 with Squarespace’s version update, which kept her blog, her page addresses, and eight years of search history in place. I built the new homepage in the update’s preview, so visitors saw her old site until the day we published.

The directory launched the same day, on its own address under her domain.

What went into the project.

A two-question start

Eligibility by state and license together, so every result can sign off on someone’s hours.

Search and filters

Filters for modality, specialty, and format, a bio search that understands abbreviations, and close matches when nothing fits exactly.

A page for every supervisor

Pages Google can find, each with the supervisor’s approvals, specialties, and a link to schedule a consult.

Join and update forms

An online form for new supervisors and a personal update link for each one, with Ariana reviewing every new listing.

Low running costs

Directory hosting at no monthly cost, accounts she owns, and an offline copy that keeps the directory up if anything changes.

Where Things Stand

Live, with room to grow.

Grounded went live in October 2026 with its first supervisors listed, and the directory is ready for 200.

Ariana runs it herself. She reviews and publishes new supervisors in Airtable, and she edits her homepage in Squarespace.

I’m continuing to work with her as Grounded grows.

“Working with John on my website was a fantastic experience. He’s quick, clear, thoughtful, and incredibly smart.”
